How we handle the small amount of personal information this website receives, and what you can ask us to do with it.

1. Who we are

The Maltese Association Of Urology is a non-profit voluntary organisation registered in Malta under registration ID VO/1309, with its registered office at 101 Triq San Girgor, Iż-Żejtun, Malta. For the purposes of the General Data Protection Regulation (EU) 2016/679 and the Maltese Data Protection Act, the association is the data controller for personal data processed through this website.

2. What we collect

Information you give us voluntarily through the enquiry and membership forms: your name, email address, stated role, and the content of your message. Membership applications additionally record professional registration details supplied by the applicant.

Limited technical information generated automatically by your browser, such as pages requested and approximate region, used only to keep the site available and secure.

We do not operate advertising trackers, and we do not sell, rent or exchange personal data with anyone.

3. Special category and health data

This website is not a clinical service. We ask visitors not to submit medical details, symptoms or identifiable patient information through our forms. If health data reaches us unsolicited, it is deleted once the enquiry has been answered, unless retention is required by law.

The association does not hold patient records and cannot access hospital systems.

4. Legal bases for processing

Consent, for enquiries and mailing-list subscriptions, which you may withdraw at any time.

Contract and legitimate interests, for the administration of membership and the running of educational activities.

Legal obligation, where records must be retained for accounting and voluntary-organisation reporting to the Commissioner for Voluntary Organisations.

5. Retention

Enquiry correspondence is kept for up to twenty-four months. Membership records are kept for the duration of membership and for six years thereafter for accounting and audit purposes. Financial records relating to donations are retained as required by Maltese law.

6. Sharing

Personal data is accessed only by elected officers of the association who need it to perform their voluntary duties. Data may be shared with our email and hosting providers acting as processors under written terms, and with the competent authorities where we are legally required to do so.

No personal data is transferred outside the European Economic Area unless an adequacy decision or appropriate safeguards apply.

7. Your rights

You may request access to your personal data, its correction or erasure, restriction of or objection to processing, and portability where applicable. Requests are answered within one month.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Information and Data Protection Commissioner (IDPC) in Malta.

8. Cookies

The site uses only a single local storage entry to remember your language preference (Malti or English). No analytics, profiling or advertising cookies are set.

9. Changes to this policy

Material changes are announced on this page and, where members are affected, at the annual general meeting.
